Collection & Loans

The Collection section is where Collectors manage their personal items and borrow from other members. Your club may use custom labels for this section — for example, a kart club might call it “Garage” with “Karts” instead of “Assets.”

Your Collection

My Collection Tab

This is your personal inventory. You can:

  • Add items — Click Add Asset and fill in the title, description, and an optional image
  • Edit items — Update details on any of your items
  • Delete items — Remove items you no longer want listed
  • Set availability — Mark items as available for borrowing or move them to maintenance

You can have up to 5 items in your personal collection.

What Others See

When your item is listed as Available, other members can see it in the club-wide collection and request to borrow it.

Browsing the Club Collection

Club-Wide Collection Tab

Browse items from all members in your club. Each card shows:

  • Item title and description
  • Owner name
  • Current status (Available, Lent, Maintenance, etc.)
  • Image (if uploaded)

Click Request to Borrow on any available item to start the loan process.

Asset Statuses

StatusWhat It Means
AvailableItem is listed and can be borrowed
Lend RequestedSomeone has requested to borrow this item
LentItem is currently on loan to another member
Return RequestedThe borrower or lender has requested the item back
MaintenanceItem is temporarily unavailable (set by owner)

Borrowing an Item

  1. Browse the Club-Wide Collection
  2. Find an item you’d like to borrow
  3. Click Request to Borrow
  4. The item owner receives a notification
  5. Wait for the owner to approve or reject your request

Once approved:

  • The item status changes to Lent
  • You’ll see it in your My Loans tab
  • A due date is set (typically configured by the club)

My Loans Tab

View all items you’ve borrowed:

  • Item name and description
  • Owner
  • Loan status (Active, Return Requested, Returned)
  • Due date

Returning a Borrowed Item

When you’re ready to return an item:

  1. Go to My Loans
  2. Find the item
  3. Click Request Return
  4. The owner receives a notification to confirm the return
  5. Once confirmed, the item goes back to Available

Incoming Requests Tab

If you own items, this tab shows borrow and return requests from other members:

Handling a Borrow Request

  • Approve — The item is marked as Lent and the borrower is notified
  • Reject — The request is declined and the item stays Available

Handling a Return Request

  • Confirm Return — The item goes back to Available

You’ll receive push notifications (if enabled) and in-app notifications for all loan-related activity.

Loan Flow at a Glance

Borrower requests → Owner approves → Item is LENT → Owner rejects → Item stays AVAILABLE Borrower or Owner requests return → Owner confirms → Item is AVAILABLE

Tips for Collectors

  • Keep your collection updated — Remove items you no longer have. Update descriptions if details change.
  • Respond promptly — Other members are waiting when they request to borrow your items.
  • Set items to Maintenance — If an item needs repair or isn’t available for a while, switch it to Maintenance so members don’t request it.
  • Check your loans — Keep an eye on due dates and return items on time.
